How To Share Reports In Power Bi Online Service

In this tutorial, I’ll show you ways to share reports in Power BI. There are many distribution features available that offer you the flexibility to give your insights out to people.

These features differ from each other in terms of how the reports are presented. Some are not as dynamic as traditionally published your report in Power BI online service.

But depending on your needs, there are a variety of ways to share your report in Power BI. You may watch the full video of this tutorial at the bottom of this blog.

There are many tools here in the workspace area to share your reports.

The first way is through email.

You can grant people access to your reports by sending an email. This will allow them to view and edit your reports.

If you share just the report link, they can only view the report. They still need to be granted access to edit it.

Next, you can export via PowerPoint and PDF.

This is what it looks like when exported to PowerPoint.

Similarly, exporting through PDF turns the report into an image.

The third way to share reports is using Subscribe.

You can create subscriptions via email for updates on ongoing reports. For example, you can send daily or weekly emails to those who can access your reports.

Another way is to embed the report to SharePoint and to a website or portal with HTML code. You can also publish to the web as well.

An example of a published web is the live demos in the Enterprise DNA showcase page.

These are content stored in the online service which are published to web to be utilized. However, you can’t see what’s happening behind the scenes since you have to upgrade to a membership status to do this.

So, I’ll publish the report by selecting Publish to web.

And a pop-up will appear saying you need to contact your admin. In this case, I’m the admin.

To grant myself access to publishing the report to the web, I’ll go to settings and select Admin portal.

Here, I’ll show what you can do from a settings perspective in Power BI.

Next, I’ll go to Tenant Settings.

Under Export and sharing settings, I’ll select Publish to web.

In the drop-down menu, I’ll enable this feature and select Allow existing and new codes.

And apply all of those settings.

There are more ways that you can manage this as an organization because there is a risk when you send embed codes to people. You can customize your privacy through Row-level security.

Now I’ll go back to the report through the drop-down menu here.

I’ll select Publish to web again.

Now I’m able to embed the report. So I’ll select Create embed code.

It will give a warning that your report will be public. I’ll publish anyway, and agree to make it public.

Now I have a copy of the URL of the published report.

Next, I’ll paste the URL in the address bar. I’ll be taken to this website where my report is embedded.

This method of sharing reports is also great for prototyping.

Within your workspace, there are different options that you can use. For example, you can view usage metrics, share your reports, and analyze in Excel.

There are other options to explore here but I’ll focus on Quick Insights.

When you select Quick Insights on a report, it will show insights that are good. It analyzes data sets and finds patterns in your reports.

Power BI is not replicating your insights. It recreates insights using existing data and patterns.

However, since Power BI is just guessing insights, some are useless. For example, it produces a visual of the count of locations.

Power BI has been making improvements in terms of functionality with this feature. So, it will get better in time.

If you’re using Discord on mobile, you won’t be able to see this tab as it is not available there.

However, you need to hit the minimum requirements before you can enable discovery for your server.

Your server needs to be at least 8 weeks old.

Server insights need to be enabled (500 members requirement).

No bad words in your server name, description, and channel names.

Have 2FA enabled.

Only after you’ve hit all of the requirements above, then you can apply for discovery.

Microsoft Power Bi is a powerful interactive data visualization BI tool. While using the Power Bi desktop or web client you may come across some errors. One of the most common error is Power Bi expression.errors. The expression error usually comes with different error messages as reported in the Power Bi Community.

I even created a sample based on the example supplied on MSDN for the IF Function, trying to use it both in the Power BI Desktop and/or Power Query for Excel 2013 (32 bit) environments. Without any luck.

In this troubleshooting guide, we have compiled a list of possible solutions to fix the Power Bi expression.errors.

This error usually occurs when there is an issue with the used power query syntax.

Check Two Tables for Dependency 

If you are working with two tables and the second table is dependant on the first table, then you join with Master PDB TEMP.

What you can do is create a reference to MASTER PDB TEMP and editing Table 2 to the new referenced query.

A new query should help you resolve the error.

Use Power Query M

Depending on the formula you are using, this error usually indicates that you need to use the Power Query (popularly known as M) in Query Editor.

Check for Duplicate Names

This is another common error and usually occurs if there are two entities with identical names in the table.

For example, if you have a bucketed field and one of your field has an identical name, then Power Bi will show this error.

Simply change the field name and check for any improvements.

5. Power Bi expression.error the name ‘format’ wasn’t recognized

Use Power Query Language 

This error is similar to what we have discussed earlier in this article. This error usually occurs if you are creating a custom column in Query Editor with DAX syntax.

What you need to do is use Power Query Language to write the formula in the Query Editor.

6. Power Bi expression.error the index is outside the bounds of the record

Check for Unallowed Characters

The error, although not specific indicates that the file is outside the bounds of record.

It usually means you have used characters that are not allowed. Check your table for column names that have any special character or upper case letters.

7. Power Bi expression.error value ‘preferred’ is not of the correct type

This error seems to occur due to a conflict between Power Bi connectors like ODBC. It can also happen if the Power Bi client has developed a snag.

To fix the error, uninstall any connection installed and also reinstall the Power Bi client.

Currency Rates In Power Bi: Handling Missing Data

In this tutorial, you’ll learn how to handle missing data in a currency-rates table using DAX and power query. You’ll learn the different ways to manage the missing rates in your table and present them effectively in a dashboard in Power BI. You can watch the full video of this tutorial at the bottom of this blog.

This is an example matrix of a currency rates table:

You can see the rates, their corresponding date in the current filter context, and the column for Currency Rate with Missing. The Currency Rate with Missing column shows the sum of the Fact Currency Rates.

You’ll also notice that there are missing rates. Sales on those dates can’t be converted because there is no rate. It takes the Total Sales measure and multiplies it by nothing. To fix this, you first need to run the Month To Date average.

This is the Month To Date average column for this example:

And this is the measure for that column:

It iterates the date table and the Currently Rate with Missing using the AVERAGEX function.

If you don’t have the Currency Rate with Missing measure, write the SUM of the Fact Currency Rate. Make sure to wrap it in a CALCULATE function to invoke the context transition.

Next, use the time intelligence function DATESMTD to filter all DimDate.

Before you put that measure in the matrix, you need to make sure that your date table is marked. Go to Table Tools and choose Mark As date table. It will make you pick a row or column that has unique values, which is always the Date column.

This step is important because it ensures that the time intelligence functions will work correctly. Otherwise, you could get weird results.

The next thing to do is check the math on the Monthly Average Rate To Date For All Days column.

Export the raw data to Excel and do it manually there. Check the results of both Excel and DAX.

The table in Excel is the same as the matrix table in Power BI.

Get the difference of what DAX and Excel produces.

The 0 values in the DAX-Excel column means that the results are correct and the measure is working properly.

If an actual rate exists, you can add another measure to fill the missing rate days. Then, you can put it inside the table.

It checks IF the Last Currency Date ISBLANK. It uses the Monthly Average Rate To Date For All Days measure. Otherwise, it uses the Currency Rate With Missing which is the currency rate for that day.

Next, you need to add a measure that identifies the start and end of a month. For this, you have to use the time intelligence functions ENDOFMONTH and STARTOFMONTH.

Place them inside the matrix.

This is a new setup with a slicer for currency and rate selection.

It also consists of 2 tables. The left table is the actual rate table and the right is filled with the missing data in various ways.

The table on the right has 5 methods of accounting for missing currency rates and were produced by a single measure.

Go to your data model and create a table without any relationships to other tables. In this example, it’s called Rate Type.

This is the measure for the Rate Table.

The measure uses the DATATABLE function to produce the actual table. You’ll also see the column headers, types, and the option lists.

Sorting the table also sets the order of the slicer. To do so, you have to go to Column Tools and choose Sort. Then, you can change the sort order inside the measure.

This is the Selected Currency Rate measure. It uses the VAR function to reference different measures and generate different results.

The first variable is the Currency Selected measure which is a simple SELECTEDVALUE function with the DimCurrencyRates. This gives you the USD currency if there is more than one currency selected in the current filter context.

The second variable is the Rate Type Selected.

It’s a simple SELECTEDVALUE function for the Rate Table type that tells you what current rate type you want in the current filter context. If there’s more than one selected, it gives you the Last Reported value.

It identifies if the Last Reported currency date chose Start Of Month or End Of Month using the SWITCH function.

The last variable is Rate. It identifies if the Monthly Average To Date For Blank or Monthly Average To Date is chosen.

A SWITCH and TRUE function is used to iterate and identify which is true. If the value is true, it stops and gives you the corresponding result.

If none of the two statements are true, it triggers the LOOKUPVALUE and looks for value in the Currency Rates Selected and Rate Type Selected.

These are the Total Sales converted into 5 different ways which can be viewed depending on the users’ preference using a slicer:
